Remodeling Project Coordinator (RPC) Job Description

Remodeling project coordinators primarily support the field project managers and lead carpenters by providing administrative assistance, organizing documentation, and coordinating logistics. They act as liaisons between different teams and facilitate effective communication.  Their focus is on the coordination and administrative aspects of the project. They ensure that tasks are completed on time, facilitate communication between team members, and track progress.

Qualifications for Remodeling Project Coordinator (RPC)

  • Experience in project coordination or a similar role.
  • Strong organizational skills and the ability to manage multiple projects simultaneously.
  • Excellent communication skills, both verbal and written, with the ability to effectively collaborate with diverse stakeholders.
  • Proficiency in project management software and tools, such as Smartsheet, SalesForce, and Sage 100.
  • Familiarity with procurement processes, including sourcing, negotiating, and managing vendor relationships.
  • Detail-oriented mindset with a focus on accuracy and precision.
  • Strong problem-solving skills and the ability to adapt to changing project requirements.

Remodeling Project Coordinator (RPC) Duties and Responsibilities

  1. Project Planning
  • Collaborate with field production managers, estimators, designers, project developers, and stakeholders to create comprehensive project schedules, ensuring that tasks are properly sequenced, and deadlines are met.
  1. Documentation and Reporting
  • Maintain project folders/records, such as contracts, and change orders. Coordinate with accounting and estimating to ensure document control processes, proper version control, and maintaining an audit trail.
  • Generate reports on project progress, and resource allocation, providing stakeholders with up-to-date information for decision-making.
  • Assist in the management of project budgets, tracking expenses, and ensuring cost control measures are implemented.
  • Maintain accurate project documentation, including contracts, permits, change orders, and progress reports.
  1. Resource Management
  • Coordinate the allocation of resources, such as labor, equipment, and materials, to meet project requirements.
  • Liaise with subcontractors, suppliers, and vendors to ensure timely delivery and resolve any logistical challenges.
  • Facilitate effective communication among project team members, subcontractors, suppliers, and clients to ensure project objectives are met.
  • Conduct weekly meetings with field project managers to monitor project progress, identify potential risks, and implement corrective measures as necessary.
  • Support the procurement process by obtaining quotes, negotiating contracts, and coordinating deliveries of materials and equipment.
  • Co-chair with Field Production Manager, monthly field crew meetings.
  • Attend monthly WIP (work-in-progress meetings).
  1. Quality Control
  • Collaborate with the field project manager in implementing quality control measures.
  1. Risk Management
  • Construction projects inherently involve risks, and it’s essential to proactively identify and mitigate them. The RPC collaborates with project developers, estimators, accounting, and field personnel in risk management by identifying potential risks, assessing their impact, and developing mitigation strategies.
  • Collaborate with project teams to implement safety protocols, ensure compliance with regulatory requirements, and promote a culture of safety on-site.
  1. Budgeting and Cost Control
  • Assist in budget development, monitoring expenses, and tracking costs throughout the project lifecycle.
  • Collaborate with field project managers, estimators, and finance teams to analyze budget variances, identify cost-saving opportunities, and make informed decisions to control project expenditures.
  1. Permitting and Compliance
  • Assist in managing the permitting process, ensuring compliance with local, state, and federal regulations.
  1. Closeout and Handover
  • Play an integral role in facilitating project closeout including documentation, final inspections, and client handover.
